This Policy is intended to help users understand how the website collects and uses their personal information through their use of the website, including any information they may provide through the website when registering an account, subscribing to receive communications from the Centre for Cultural and Scientific Activities of Van Mieu – Quoc Tu Giam (hereinafter referred to as the "Centre"), or when purchasing products or services or requesting further information about services from the Centre. The Centre attaches great importance to the protection of information and applies the best measures to safeguard users' information as well as their payments.

All transaction information shall be kept confidential, except where required by law.

2. Purpose and scope of information collection

2.1 Purpose of information collection

The website vanmieu.gov.vn collects users' information in order to:

  • Process visit ticket bookings on the website;
  • Confirm transactions and issue electronic tickets;
  • Confirm payment as requested;
  • Provide support and respond to customers' enquiries;
  • Compile statistics in service of the management of the relic site;
  • Handle customers' feedback, requests, and complaints;
  • Detect and prevent fraud, abuse of incentives, and violations of the Terms of Service;
  • Contact and resolve matters with customers in special cases;
  • Manage the website vanmieu.gov.vn, and send updates about the website as well as promotional programmes, incentives, and appreciation offers to customers;
  • Prevent activities that would destroy customers' user accounts or activities involving impersonation;
  • Manage, analyse, and evaluate data in order to develop appropriate sales policies and customer service policies;
  • Receive information, comments, suggestions, and complaints from customers in order to improve the quality of services on vanmieu.gov.vn;

  • Where required by law: THE CENTRE FOR CULTURAL AND SCIENTIFIC ACTIVITIES OF VAN MIEU – QUOC TU GIAM is responsible for cooperating in providing users' personal information upon request from judicial authorities, including the Procuracy, the Court, and the police investigation agency, in connection with any violation of law by a customer. Save for the foregoing, no party has the right to infringe upon users' personal information.

2.2 Scope of information collection

The collection of personal information is carried out on the basis of the customer's voluntary online declaration for the purpose of using services on the website vanmieu.gov.vn. Depending on the specific time, the information collected shall include but not be limited to:

  • Identification information: Full name, telephone number, email address;
  • Identity documents (applicable only to group/collective ticket bookings): In certain cases of group/collective ticket booking, the Centre may request identity document information in order to verify individuals eligible for ticket exemption or reduction;
  • Ticket information: Ticket type, date and time of visit, number of visitors;
  • Payment information: Transaction code – the Centre does not store card/bank account numbers, CVV codes, or customers' full bank account information. Such information is processed directly by the intermediary payment provider;
  • The content of conversations and exchanges when users contact support through the publicly available support contact channels on the website;
  • Technical information: IP address, device type, browser, cookies.

The Centre collects only the information that is necessary and consistent with the notified purpose of use, and does not require users to provide information unrelated to the provision of products/services, except where otherwise provided by law or where the user voluntarily provides such information.

3. Scope of information use

Users' personal information is used for the following purposes:

  • Contacting users to confirm transactions and provide services upon receipt of a request from the user;
  • Providing information about services to customers upon their request;
  • Sending marketing and promotional emails regarding services provided by the Centre;
  • Sending notifications about activities on the website;
  • Contacting and resolving matters with users in special cases;
  • Refraining from using users' personal information beyond the purpose of confirmation and contact related to transactions;
  • Upon request from judicial authorities, including the Procuracy, the Court, and the police investigation agency, in connection with any violation of law by a customer.

In addition, transaction information, including transaction history, transaction value, and payment method, is also stored by the website vanmieu.gov.vn in order to resolve any issues that may arise subsequently.

4. Duration of information storage

  • Ticket booking information is stored throughout the period during which the ticket remains valid for use.
  • Data may be stored after the visit period in order to serve accounting reconciliation and statistical reporting as prescribed by law, or until a valid request for deletion is received from the customer.

The Centre shall store the personal information provided by customers on its internal systems throughout the course of providing services to customers, until the purpose of collection has been fulfilled, or until the customer requests the deletion or destruction of the information provided.

5. Organisations and individuals that may access personal information

Users' personal information may be accessed by the following parties, to the extent necessary:

  • The management, customer care, business, technical, accounting, or other relevant departments of vanmieu.gov.vn;
  • Partners that have signed a contract to perform part of the services for vanmieu.gov.vn (technical partners, intermediary payment service providers, etc.). Such partners shall receive information in accordance with the contractual agreement (which may be part or all of the information, depending on the terms of the contract) in order to assist users in using the services provided by vanmieu.gov.vn;
  • Competent State agencies upon lawful request in accordance with the provisions of law;
  • Other organisations and individuals with the consent of the user or as prescribed by law.

The parties granted access to users' personal information are responsible for maintaining its confidentiality and may use such information only to the extent necessary to perform the relevant work, service, or obligation.

The Centre does not sell, exchange, lease, or arbitrarily provide users' personal information to third parties for commercial purposes without the user's consent, except where otherwise provided by law.

6. Measures for securing users' information and data

The Centre applies appropriate technical and managerial measures to protect users' personal information, including but not limited to:

  • Applying appropriate technical measures: HTTPS connection encryption, access authorisation for the ticketing system, and non-storage of payment card information;
  • Encrypting data in transmission;
  • Controlling access to the data storage system;
  • Performing periodic backups;
  • Limiting the personnel granted access to personal information to the scope of their work;
  • Regularly reviewing, examining, and updating security measures as necessary;
  • Requiring relevant third parties to commit to protecting information in accordance with the agreement and the provisions of law.

Users are responsible for keeping confidential their own account information, passwords, authentication codes, and login credentials where the website provides an account function. Users must promptly notify the Centre upon discovering or suspecting that their personal information, account, or password has been disclosed, used without authorisation, or shows any sign of compromise.

Although the Centre endeavours to apply the necessary security measures, no system for transmitting or storing data over the Internet can be guaranteed to be absolutely secure. In the event of an incident affecting personal data, the Centre shall promptly implement measures to handle and remedy the situation and shall provide notification in accordance with the provisions of law.

7. Methods and procedures for users to view, amend, or request amendment of data

Customers have the right to check, view, update, amend, or request the amendment of their personal information that they have provided on the website.

Upon receipt of the request, the Centre shall examine, verify, and process it in accordance with the provisions of law. Where the request is valid, the Centre shall carry out the deletion, destruction, or restriction of the processing of the data to the appropriate extent.

The Centre reserves the right to refuse to fulfil a request in the following cases:

  • The data must be retained in order to perform a legal obligation;
  • The data relates to the resolution of a dispute, complaint, or violation, or to the protection of the lawful rights and interests of the Centre, the user, or a third party;
  • The request lacks sufficient grounds to verify that the requester is the data subject or a lawful representative thereof;
  • Other cases as prescribed by law.

9. Methods and procedures for receiving and resolving complaints, requests, and feedback relating to information security

The complaint-handling procedure is carried out as follows:

Step 1: Receipt of the request/complaint

The user submits the content of the complaint, feedback, or request together with contact information and relevant documents, if any.

Step 2: Verification of information

The Centre examines the content of the feedback, verifies the information of the requester, and assesses the scope of the matter within 03 working days from the date of receipt of the request/complaint.

Step 3: Processing and response

The Centre processes the request/complaint within an appropriate period in accordance with the provisions of law and the nature of the matter, within a minimum of the following 03 working days. Where the matter is complex or requires additional time for verification, the Centre shall notify the user of the anticipated processing time.

Step 4: Remediation and protection of the user's interests

If any error, violation, or risk relating to personal information is detected, the Centre shall apply the necessary remedial measures in order to limit damage and protect the lawful interests of the user.

In the event that the user does not agree with the outcome of the resolution, the user has the right to lodge a complaint, denunciation, or lawsuit, or to request a competent authority to resolve the matter in accordance with the provisions of law.

10. Commitment to information security

The Centre commits to:

  • Collecting and processing personal information for the correct purpose and within the scope notified;
  • Not disclosing, transferring, or providing users' personal information to third parties without the user's consent, except where otherwise provided by law;
  • Applying the necessary measures to protect users' personal information;
  • Supporting users in exercising their rights to view, amend, delete, destroy, or restrict the processing of personal data in accordance with the provisions of law;
  • Receiving and promptly handling feedback and complaints relating to information security.

11. Rights of the customer

Customers have the following rights:

  • To request access to, amendment of, or deletion of their personal information;
  • To decline to receive advertising and promotional information (if any) from the platform;
  • To lodge a complaint in the event of a violation concerning the security of personal information;
  • Customers may choose and control their privacy, including: the right to access data information, the right to amend the information provided, the right to request the deletion of information, the right to restrict part or all of their personal data, and the right to object to the use of information for purposes other than those set out by the website;
